At Continuum Conversion Services, we can take over the complete responsibility of converting your facility's documents, or we can supplement your staff and handle overflow conversion needs. We offer a variety of services to all of our clients. Each step in the integration process is strictly supervised to insure the highest level of quality control, confidentiality, and security as the documents move through the conversion cycle.
Document Preparation: Documents are carefully prepared for the scanning process through staple/paperclip removal, separation of files, and separation of documents.
Scanning: Documents are efficiently scanned, and if needed, pre-indexed into OnBase using multiple high-speed scanners. At this time, documents are scanned, viewed, and verified that each document is scanned at the best quality.
Indexing: Indexing Specialists view, categorize, and index the scanned documents according to document type as well as enter keywords in indexing values as desired upon request and specification.
Image & Index Transfer: The electronic files will be returned through electronic transfer (VPN), Intranet, or hardware (Hard Drives). The best practice in regard to the transfer of electronic files will be determined.
Document Destruction: If desired, document destruction will operate with a six (6) step secure process:
- Confidential documents are placed into a locked console.
- Remove confidential documents from locked console.
- Highly efficient blades securely shred documents.
- Shredded documents are securely baled for recycling.
A proprietary "Cross-cut" blade technology renders paper into a shred size six (6) times smaller than the industry standard. Destruction will occur on-site to maintain the highest level of security.
Confidentiality: Confidentiality is our most revered priority at Continuum. All incoming and outgoing data is sent through encryption. Employees complete a Confidentiality Training program, enter into a "Business Associate Agreement," and sign a certified Affidavit binding them to uphold the laws of patient confidentiality under the provisions of HIPAA. This Affidavit is recognized under the American Disclosure Acts and enforced by the United States Legislature. Continuum guarantees that all of the information we process is completely secure and patient confidentiality is fully protected.
